Accommodation Guidelines

Shared Rooms (Strongly Encouraged)

To maximize capacity and keep costs affordable for everyone, we encourage all participants to book shared rooms. Rooms at De Berckt are simple and practical, often furnished with bunk beds, accommodating up to 4 people per room.

How to request roommates?

• Provide the names and email addresses of up to 3 preferred roommates during registration
• Important: Ask your roommates to list the same group members on their registrations
• For mixed-gender groups, you'll need to confirm consent via checkbox
• Note: If your group has fewer than 4 people, we may assign additional roommates to fill the room to capacity only if needed 
• If you don't specify roommates, we'll assign them based on gender

Single Rooms (Very Limited Availability)

Single rooms are extremely limited at De Berckt. Most "single" rooms are actually multi-person rooms allocated to one person, which significantly reduces our overall capacity.

What if rooms are fully occupied?

If rooms are occupied, participants will need to arrange their own accommodation nearby. In this case, the conference fee will be twice the single-day fee. Note that single rooms may reach capacity earlier than shared rooms.

BioSB PhD retreat

The fee for the BioSB PhD retreat includes dinner and evening programme on May 11. Also breakfast on May 12 is included. Registration is required and can be done via the conference registration form. 

Annual BioSB Faculty meeting

The BioSB Faculty meeting is scheduled for the evening of May 11, inviting leaders/experts from the broad field of Bioinformatics and Systems Biology (academic and private sector). The fee for the faculty meeting includes a simple sandwich buffet on May 11. Also breakfast on May 12 is included. Registration is required and can be done via the conference registration form. 

Payment policy

Payment of the registration fee is included in the registration procedure. We accept PayPal, iDeal and Direct e-banking. A final confirmation will be sent by e-mail (please check your SPAM folder if not received).

Group bookings

Booking more than one person can easily be done by choosing the option "submit and add extra person" at the bottom of the registration process.

Cancellation policy

Bookings can be cancelled until March 20th through 'your registration page’. You will find the link to this page in your confirmation e-mail. Administrative costs (€50.00) and optional banking fees will be extracted from the total refund sum.

Unfortunately, we cannot issue a refund after this date. In case of illness or accident, we advise you to consult your employer's insurance.
